Dear SHS Parents!
The month of April will find us voting for upcoming vacated Board positions.  The positions described will need to be filled for our next year’s board.  BE A PART OF YOUR SCHOOL AND ITS FUTURE by volunteering to help our school continue the excellence we’ve come to expect!  As your PTC Board, we offer you friendship, camaraderie, challenges, laughter, and a sense of well-being.
At this time we are looking for nominations of individuals, and self-nominations are welcomed!  The 1st Vice President, Treasurer and Secretary positions will be filled through elections within the school.  The elected Executive Board fills hospitality, Service Hours, and Historian positions through appointment.  The Board meets a minimum number of 9 council meetings per school year.
The following elected positions are a two-year commitment:
1st Vice President:  This position oversees the activities of the individual grade room parents.  The 1st VP is the liaison between the teachers, PTC, and the room parents.  In the absence of the President, the 1st VP will chair the monthly PTC Meetings.  This position will also perform other duties as may be prescribed in the bylaws or assigned by the council.
Treasurer:  This position has custody of all funds of the PTC and maintains all financial records.  Keep a full and accurate accounting of all receipts and expenditures as required.  Makes disbursements as authorized by Principal and PTC President in accordance with the budget adopted by the council.  Tracks the PTC fundraising efforts and presents a written financial statement at each of the board meetings and at other times when requested by the board.  Performs other delegated duties as assigned.
Secretary:  Records all business transacted at each meeting of the PTC and Executive Board, and presents the minutes for approval at the next meeting.  Bring to each meeting the following:  a copy of the PTC’s bylaws, the agenda, minutes of the previous meeting including the treasurer’s report, list of committees including chairs and members.  Reads or distributes printed copies of the minutes of previous meeting.  Calls meeting to order in the absence of the President /Co-Vice Presidents.  Acts as custodian of all records, except those specifically assigned to others.  Conducts the correspondence of the council.  Perform such other duties as may be assigned by the council.
If a two-year commitment does not fit your life-style at this time, please consider a one-year appointment to one of the following non-voting board positions:
Historian:  This position is our photojournalist!  The Historian is responsible for documenting some of the school’s day-to-day activities, as well as any school events (i.e., sports, Christmas and Spring programs, First Communion, Jogathon, etc).  The Historian’s work will be used in producing our yearbook and end of year slide show.  Perform such other duties as may be assigned by the council.
Hospitality:  It shall be the duty of the Hospitality Chairperson to form a committee with assigned grades to provide refreshments at major SHS events such as Open House, Field Day, Staff Appreciation Luncheon, Orientations, etc.  Maintain an inventory of hospitality supplies and purchase supplies when necessary, submitting receipts to the Treasurer for reimbursement, and render a written report of the year’s activities, including financial information at the June SHS meeting.  Perform such other duties as may be assigned by the council.
Service Hour:  This position verifies the school families’ fulfillment of service hour requirements.  Green Sheet distribution, collection, verification of hours earned, as well as follow-up to families.   Perform such other duties as may be assigned by the council.
